Submitting Mileage Tracking Expense Reports
Context:
Tracking how far you've driven to go to an on-site visit is a frustrating experience for many technicians. Some use notebooks, others send text messages to themselves for tracking purposes, and other call it in. There are many ways of doing it, but it feels like none of those methods work really well.
The MSP Process mobile app has a mileage tracking feature that is easy to setup, simple to use, and generates consistent, repeatable Expense Reports for you in your PSA. In this KB article, we talk about how to configure and use the Mileage Tracking feature.
Supported PSAs:
- Autotask
- ConnectWise
Prerequisites:
You must link your MSP Process user account to either an Autotask Resource or a ConnectWise Technician. Here are the KB articles that outline how to do that:
- Linking your MSP Process User Account to a ConnectWise Member
- Link your MSP Process User Account To An Autotask Resource (User)
Choosing Miles vs. Kilometres
You can specify whether you want your trips to be tracked in Miles or in Kilometres. The first time you start a Mileage Tracking trip, the app will ask you which unit of measurement you want to use:
If you need to change that setting later on, you can do so by going to the Home page of the MSP Process app, and clicking on the Settings icon in the top-right hand corner of the UI:
On the Settings page, click the Edit Profile option, and then switch between Miles or Kilometres using this toggle:
Initiating Mileage Tracking
- Open the MSP Process app
- Open the Tickets module
- Click into a Ticket
- At the top right-hand corner of the app, click on the Pin icon:
- Click the Start Trip button to begin tracking the distance you travel:
- You can stop tracking your mileage at any time; or, when you're within 100 metres of your destination, the app will prompt you to stop the trip
- The app will then submit an Expense Report for you, under your name:
